Real Estate Transaction Coordinator

What you'll do

• Open every executed contract in our transaction management system and build the timeline from contract date — due diligence, earnest money, inspections, appraisal, financing, and closing.
• Chase and file every document required by North Carolina and Canopy MLS: NCAR/NCBAR contracts, disclosures, addenda, MDDs, agency agreements, wire authorizations.
• Send calendar reminders and status updates to broker, client, and co-op agent at every milestone; escalate any deadline at risk within one business day.
• Coordinate scheduling with inspectors, appraisers, and the closing attorney; keep the shared file complete and audit-ready at all times.
• Prep client-facing summaries, wire-fraud reminders, and closing checklists so nothing gets missed the week of settlement.
• Close out every file in the CRM after settlement: commission disbursement uploaded, file archived, testimonial requested.

What we're looking for

• 2+ years as a real estate transaction coordinator or brokerage assistant (NC or US preferred).
• Working knowledge of the NCAR/NCBAR offer-to-purchase contract, disclosures, and NC-specific deadlines (due diligence, earnest money).
• Obsessive attention to deadlines, spelling, and file completeness; you own outcomes, not just tasks.
• Fluent written + spoken English; calm, professional communicator with clients and co-op agents.
• Reliable overlap with US Eastern Time business hours.
